What drives the number up

Duration and driver hours. Federal hours-of-service rules cap a driver at 10 hours of driving after 8 hours off duty. Trips that push past that need a second driver or an overnight stop, and both land on the invoice.

Distance. Local charters are usually quoted as a day rate with an hourly minimum of 4–5 hours. Once you leave the metro, per-mile pricing takes over, plus deadhead miles for getting the coach to you and back.

Season. Spring school trips, autumn weddings and big local events tighten supply. The cheapest vehicles in any fleet are booked first, so late booking costs more even at the same operator.

Extras that are rarely in the headline rate. Driver lodging on overnight trips, tolls, parking, fuel surcharges and gratuity. Ask for an all-in written quote.
